This option is available to Teacher administrators and Organization administrators.
Organization administrators can import users with any role.
Teacher administrators can import students and teachers only.
Teachers cannot import new users.
The import feature allows you to create a large number of users and place them directly into a class.
To import users you will first need to set up your user details in a spreadsheet. To do this:
1.Click Manage users on the left.
2.Click the Import new users button.
3.Click the Template file button to download a sample file in Excel or CSV format.
Note:
Your user details will need to be entered into the spreadsheet in exactly the same format as the sample file.
4.Delete the sample data and then enter your users' details into the file.
View explanation of columns
•Name: This is the full name of your user and can be in any language or script.
•Username/email address: Enter an email address if the user has one, otherwise enter a username. Usernames must be at least 5 characters long, with no spaces.
•Password: The password must be at least 6 characters and include at least one lowercase letter and one uppercase letter, with no spaces.
Note:
Passwords can only be set for new users. If you are updating an existing user, leave the Password cell blank for that user.
•Role: Enter either:
o"Student"
o"Teacher" - Teachers can add and manage courses on the Learning Management System. A teacher will see only classes they are assigned to. They cannot add or edit users or change the organization details.
o"Teacher admin" - In addition to the teacher functions, a teacher administrator can also add and edit users for classes they are assigned to.
o"Org admin" - An organization administrator can access all the functions, including the organization details.
•Action: For a new user, enter Add. If the user already exists in your organization, enter Update.
•Class name (Optional): Enter the name of the class to add the users to. If you enter a name which does not yet exist in the organization, a new class will be created.
•Access code (Optional): If your student has an access code for their course, enter the code to upload it with the student details.
Notes on uploading access codes:
To upload access codes, you first need to create the class you want to import students into and link the course to the class. You cannot upload an access code if you have not set up the class and course first.
To ensure that access codes are entered and uploaded correctly, the format for this column should be set to ‘Text’ in Excel. To check this, right-click on the column heading in the file, select ‘Format cells’ and check that the Category ‘Text’ is selected before entering the codes.
•User ID (Optional): This is for any reference number used in your organization to identify staff and students. If you do not use a User ID or other reference, leave this column blank but keep the column heading in your file.
Note:
To ensure that User IDs are entered and uploaded correctly, the format for this column should be set to ‘Text’ in Excel. To check this, right-click on the column heading in the file, select ‘Format cells’ and check that the Category ‘Text’ is selected before entering the User IDs.

5.Save the file on your computer and then return to the site.
Note:
We do not recommend importing more than 100 users in one spreadsheet as this could take a long time to upload.
Once the file has been created you can import it into your account. To do this:
1.From the Import new users page, click the Browse button and find your file.
2.Click the Import button.
3.Check the information and click Save.
4.The status of the import will be shown onscreen. When the status is Completed, the users have been imported.
If there are any errors in the file, you can correct them by following these additional steps:
1.Click the link in the Error report column to download the report file.
2.Check the Error message column to confirm the problem.
3.Correct the information which caused the error.
4.Delete the Error message column from the file and save it to your computer.
5.Upload the user(s) again following the steps above.
Hint:
You do not need to stay on the page while the import is processing. Depending on the number of users, the import could take a long time. You can come back later to check the import status.
